Information you provide directly

• Contact form & audit form data: first name, last name, business name, role/title, email address, phone number, industry, business size, business description, current systems, goals, timeline, lead source, and any free-text answers you submit.
• Communications: messages, emails, and SMS replies you send to us.
• Booked appointments: your selected calendar time, time zone, and any booking notes.

Information we collect automatically

• Technical data: IP address, browser type and version, device type, operating system, referring URL, pages visited, time of visit, and approximate location (derived from IP).

3. How We Use Your Information

We use the information we collect to:

• Respond to your inquiries, schedule and conduct your free audit, and deliver requested services.
• Send transactional communications — appointment confirmations, audit reminders, audit findings, status updates.
• Send promotional communications about AI360° services, updates, or events only when you have explicitly opted in.
• Improve our website, services, and content based on aggregate usage data.
• Detect, prevent, and address fraud, security issues, or technical problems.

4. SMS & Mobile Messaging Terms

Text messaging originator opt-in data and consent will not be shared with any third parties, except for aggregators and providers of the Text Message services who are necessary to transmit the messages.

How we obtain consent

We collect mobile phone numbers and SMS consent only when you voluntarily provide them via our free audit form or other web forms that include a clear, unchecked, optional consent checkbox alongside the phone field. We do not pre-check the consent box, and we do not require SMS consent in order to access our services.

Message types and frequency

If you opt in, you may receive recurring SMS/MMS messages from AI360° Network related to your audit booking, scheduling, follow-ups, account updates, and — if you also opt in to marketing — promotional offers and announcements. Message frequency varies based on your activity, typically up to 8 messages per month.

Costs

Message and data rates may apply for messages sent to you from us and to us from you. Carriers are not liable for delayed or undelivered messages.

Opt-out and help

You can stop receiving SMS messages from us at any time by texting STOP to any message you receive. To rejoin, sign up as you did initially via our website forms. For help, reply with the keyword HELP to any of our messages, or email errol@ai360network.com.

Compliance

Our SMS practices comply with the Telephone Consumer Protection Act (TCPA), CTIA Messaging Principles & Best Practices, and applicable A2P 10DLC carrier requirements administered by The Campaign Registry.

5. How We Share Your Information

We share information only with the following categories of recipients, and only as necessary:

• Service providers / subprocessors who help us operate the business, including:
  • GoHighLevel (HighLevel Inc.) — CRM, calendar, SMS routing, email delivery, automation
  • Cloudflare, Inc. — website hosting (Cloudflare Pages), DNS, security
  • Google LLC — Google Fonts (web fonts), Google Calendar (appointment scheduling)
  • Twilio / Bandwidth (via GoHighLevel) — SMS aggregator and messaging provider
  • Plausible Analytics (Plausible Insights OÜ) — privacy-first website analytics. Plausible does not use cookies, does not track users across sites, and does not collect personal data. It measures aggregate traffic using anonymized data only. No consent banner is required. Plausible Privacy Policy.
• Legal and safety: when required by law, subpoena, court order, or to protect the rights, property, or safety of AI360°, our clients, or the public.
• Business transfers: in connection with a merger, acquisition, or sale of assets, with notice to you.

We do not sell your personal information. We do not rent or trade lead lists. We do not share your phone number or SMS consent data with third parties or affiliates for marketing or promotional purposes.

6. Data Retention

We retain your information for as long as it is necessary to fulfill the purposes outlined in this policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Audit-form submissions and contact records are retained while your account or relationship with AI360° is active, and for up to 3 years after our last meaningful interaction, unless you request deletion sooner.

7. Your Rights

Depending on your location, you may have rights under the California Consumer Privacy Act (CCPA), General Data Protection Regulation (GDPR), or other applicable privacy laws, including:

• Access — request a copy of the personal information we hold about you.
• Correction — ask us to correct inaccurate or incomplete information.
• Deletion — ask us to delete your information, subject to legal retention requirements.
• Opt-out — withdraw your consent to receive marketing emails or SMS messages at any time.
• Portability — receive a copy of your information in a structured, machine-readable format.
• Non-discrimination — exercise any of these rights without being denied service or charged differently.

We use commercially reasonable technical and organizational measures to protect your information — including TLS encryption in transit, access controls on internal systems, and vendor-level security commitments from our subprocessors. No method of transmission or storage is 100% secure. If a breach affecting your data occurs, we will notify you and applicable authorities as required by law.

11. International Visitors

Our servers and operations are based in the United States. By using our services, you understand and consent to the transfer of your information to the United States, which may have different data-protection rules than your country of residence.

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top. Material changes will be communicated via a notice on our website or, where appropriate, by email. Continued use of our services after changes take effect constitutes acceptance of the updated policy.
